    5. billing information such as subscription status, billing address and payment confirmation details (card numbers are entered directly with our payment processor and are not received by us);

    9. a list of URLs starting with a referring site, your activity on this Website, and the site you exit to (automatically collected);

    4. Google Workspace (business email, document storage and collaboration, including correspondence you send to us);

    5. Stripe (subscription, payment and invoice processing; card details are entered directly with Stripe and are not received by us);

    6. Mailgun (transactional and marketing email delivery);

    7. Microsoft Entra ID and Google OAuth (authentication, where you choose to sign in using these services);

    8. Calendly (scheduling of calls and demonstrations);

    9. Google Analytics and Google Tag Manager (website analytics);

    10. Microsoft Clarity (website session analytics and heatmaps);

    11. Content delivery networks including Cloudflare cdnjs, jsDelivr, unpkg, Google Fonts and CARTO (delivery of website scripts, fonts and map tiles, which involves the processing of your IP address);

      in each case, in accordance with this Privacy Policy.

  5. Where a Business Customer submits personal data relating to its own clients into the Software, the providers who process that data on our behalf are listed in our Sub-processor List, accessible here: https://gaintax.co.uk/sub-processors.


    Data About Business Contacts

  6. We may collect business contact details (such as name, job title, employer, business email address and business telephone number) of individuals at organisations we consider may have a professional interest in our services. We collect these from publicly available sources including Companies House, LinkedIn and professional directories, and from business contact data providers including Apollo.io. We process such data on the basis of our legitimate interests in business development and marketing our services to relevant professionals. Where we contact you using data obtained in this way, we will tell you the source of your details at the point of contact. You may object to this processing, or ask us to delete your details, at any time by contacting us at support@gaintax.co.uk.


    Data That is Collected Automatically

  7. To the extent that you access the Website, we will collect your Data automatically, for example:

    1. we automatically collect some information about your visit to the Website. This information helps us to make improvements to Website content and navigation, and includes your IP address, the date, times and frequency with which you access the Website and the way you use and interact with its content.

    Your Rights

  19. You have the following rights in relation to your Data:

    1. Right to access - the right to request (i) copies of the information we hold about you at any time, or (ii) that we modify, update or delete such information. If we provide you with access to the information we hold about you, we will not charge you for this, unless your request is "manifestly unfounded or excessive." Where we are legally permitted to do so, we may refuse your request. If we refuse your request, we will tell you the reasons why.

For example, this could occur if our servers are located in a country outside the UK or EEA or one of our service providers is situated in a country outside the UK or EEA.

In particular, queries and documents submitted to the Software are processed by OpenAI OpCo, LLC in the United States under the standard contractual clauses as amended by the UK International Data Transfer Addendum. Personal data at rest is hosted in the United Kingdom.

  25. To ensure that your Data receives an adequate level of protection, we have put in place appropriate safeguards and procedures with the third parties we share your Data with. This ensures your Data is treated by those third parties in a way that is consistent with the Data Protection Laws.
